The Association is a student organization affiliated with the University of Alberta in Edmonton. The Association has the right to legislate, administer and conduct its own affairs through its Executive Board, duly elected by its members. The main goal of the Association is to promote soccer and thus to increase the interaction within the Romanian community at University of Alberta. The community includes students, alumni, and others. The association will preserve, foster and promote the Romanian culture, language and heritage. Social events will be organized to celebrate traditional holidays such as Easter, Christmas or the National Day of Romania. The Association will also support recreational activities such as sports (other than soccer), games or traveling. The Association will register and support a Romanian soccer team in the Edmonton District Soccer Association. Admission and Rights To become member of the Association a person must be approved by the Executive Board. Members are eligible to participate in all activities organized by the Association. They are also entitled to vote on any Constitutional matters and elect the Executive Board. The club is open to all Romanian students or students with Romanian heritage that enjoy playing soccer. Membership fee Members pay no annual membership fee. Benefits and Privileges Members are entitled to discounted fares at the social events or other activities organized by the Association, as advised by the Executive Board. Disciplinary Actions Should a member act in a manner contrary to the purpose and objectives of the Association or against a decision of the Executive Board, the Executive Board has the right to act as a disciplinary committee and take the necessary action. Annual General MeetingsThe Annual General Meeting of the Association is held in the 4th quarter (November) of each year. The purpose of the Annual General Meeting is to review the activities of the Association over the past year and elect the Executive Board for the following year. Members are notified via e-mail about the date and place of the meeting at least one week before the date of the meeting. The quorum of the Annual General Meeting is set at 11 members with a simple majority of the Board members. If within one half hour of the start time the quorum is not present, the meeting is postponed to a different date. Executive Board MeetingsThe Executive Board meets on a regular basis to plan activities and make executive decisions. The regular Board meetings are held every quarter. Extra Board meetings can be held at the request of at least 3 Board members. The quorum of the Executive Board meeting is set at 3 members. If within one half hour of the start time the quorum is not present, the meeting is postponed to a different date. Extraordinary Meetings A meeting of the whole Association other than the Annual General Meeting called to deal with the Constitution is called an Extraordinary Meeting. Members are notified via e-mail about the date and place of the meeting at least one week before the date of the meeting. Similar to the Annual General Meeting, the quorum of the Extraordinary Meeting is set at 11 members with a simple majority of the Board members. If within one half hour of the start time the quorum is not present, the meeting is postponed to a different date. The Executive Board consists of 5 members elected by the members of the Association at the Annual General Meeting. 1. President

The President, the treasurer, and at least 2 more members of the Executive Board should be students registered at the University of Alberta. The election vote at the Annual General Meeting shall be by the secret ballot. Voting on all other matters at the Annual General Meeting, the Extraordinary Meetings or the Executive Board meetings shall be by the show of hands. A simple majority wins any vote except a constitutional change vote. In case of draw, the vote of the President decides the vote. A constitutional vote requires the approval of two thirds of the voting members. Funding The Association may organize fundraising events and accept donations, subsidies or grants. The Association funds are deposited in Association Bank account by the treasurer. Spending All spending must be authorized by the Executive Board based on a motion carried by at least 3 Board members. Audit of finances The receipts, cheques and account statements of the Association, which are held by the treasurer, are opened to auditing at any time by any member of the Executive Board. An official audit of the finances shall be carried out at the end of each financial year by two auditors. Any Executive Board member, other than the treasurer, is eligible to serve as an auditor. The completed financial audit for the past fiscal year is presented to all Association members at the Annual General Meeting. |
